Presentation Guidelines


Thank you for choosing VCIP2020 as the platform to present your research work. Since VCIP2020 will go virtual, the format of presentation is a bit different from the traditional face-to-face conferences. Below please find some instructions for your reference.

A. Oral session

  1. If you are a speaker of an oral session, please enter the corresponding Zoom meeting room 15 minutes before the scheduled time of the session. Please refer to the instructions that have been sent earlier for logging in the Virtual Platform of VCIP2020 and entering a Zoom meeting room. Once entering the meeting room, you will be assigned the role of co-host such that your mic will be unmuted in the session.
  2. Please identify yourself to the session chairs such that they will invite you to make the presentation at the right time.
  3. When you are invited to make the presentation, please share your screen that contains the presentation material. You have 15 minutes for the presentation. It will be followed by the Q&A. The mic of the audience will be unmuted at that time for asking questions. Some audience may also ask their questions through the chat box.
  4. After finishing the presentation, remember to stop sharing your presentation material such that the next speaker can start the presentation.

B. Poster

  1. If you are a speaker of a poster session, please enter the corresponding Zoom meeting room 15 minutes before the scheduled time of the session. Please refer to the instructions that have been sent earlier for logging in the Virtual Platform of VCIP2020 and entering a Zoom meeting room. Once entering the meeting room, you will be assigned the role of co-host such that your mic will be unmuted in the session.
  2. After entering the Zoom meeting room, you will be in the main area where you will make a 5-minute introduction of your paper. Please identify yourself to the session chairs such that they will invite you to make the introduction at the right time.
  3. When you are invited to make the introduction, you may share your screen that contains the presentation material. No question will be entertained at that time. Should an audience is interested in your work, you may discuss with him/her in the break out room.
  4. After the presentations, please go to your assigned break out room. Please refer to the instruction that we have sent out before for joining a breakout room. You are advised to share your presentation material in the breakout room. All participants in the breakout room will have their mic unmuted so they can speak at any time. Some participants may also ask you questions through the chat box.
  5. There may be instances that no participant are ready to directly interact with you in the room. It may be a good approach if you can share a presentation video of your paper at that time to let the participants have a better understanding of your work before interacting with you. You can always stop the sharing when the participants start to ask you questions.
  6. Please leave the breakout room at the end of the session.

C. Demonstration

  1. If you are a speaker of the demonstration session, please enter the corresponding Zoom meeting room 15 minutes before the scheduled time of the session. Please refer to the instructions that have been sent earlier for logging in the Virtual Platform of VCIP2020 and entering a Zoom meeting room. Once entering the meeting room, you will be assigned the role of co-host such that your mic will be unmuted in the session.
  2. Please identify yourself to the session chairs such that they will invite you to make the presentation at the right time.
  3. Since it is a demonstration session, it is essential that your presentation will allocate a substantial amount of time for demonstration. When you are invited to make the presentation, please share your screen that contains the presentation and demonstration material. You have 15 minutes for the presentation and demonstration. It will be followed by the Q&A. The mic of the audience will be unmuted at that time for asking questions. Some audience may also ask their questions through the chat box.
  4. After finishing the presentation and demonstration, remember to stop sharing your presentation material such that the next speaker can start the presentation.
